Most web design projects are billed in milestones: a deposit to start, a payment after the design is approved and the rest at launch. Each invoice should say which milestone it covers and reference the agreed quote or contract.
Ongoing work such as hosting, maintenance or support is easier to bill as a fixed monthly line, with extra development time charged hourly on a separate line.
What to include on a web design invoice
- Your studio or freelance name, logo and contact details
- The client’s company name and billing address
- An invoice number, the date and the due date
- The project name and the milestone or period covered
- Design, development, content and SEO work as separate lines
- Third-party costs you pass on: domains, hosting, plugins, stock photos
- Tax if applicable, the total and payment details

Protect yourself with clear terms
State what happens if the client pays late, and whether ownership of the code and design transfers on full payment. Put these in the terms section so they appear on every invoice, and keep the notes for bank details and a thank-you.
