What to include on a consulting invoice
- Your name or firm name, logo and contact details
- The client's company name, contact person and billing address
- A unique invoice number, issue date and due date
- The engagement or project name, and a purchase order number if the client uses one
- The services delivered, with hours or days and your rate
- Reimbursable expenses, such as travel, listed separately
- Tax, if you are registered to charge it
- Payment terms and bank details
Hourly, day-rate and retainer billing
For hourly work, add one line per activity or per week, with hours as the quantity. You can rename the "Quantity" column to "Hours" or "Days" so the invoice reads naturally. For day rates, use the number of days as the quantity.
For a monthly retainer, add a single line such as "Advisory retainer – March" with a quantity of 1. If you also bill extra hours above the retainer, add them as a separate line so the client can see exactly what changed.
Billing expenses and travel
Keep expenses apart from your fees. Add each reimbursable cost, such as flights, hotels or software licences, as its own line, and mention in the notes that receipts are available on request.
Many corporate clients pay only against a purchase order. Ask for the PO number before you start, enter it in the PO field, and your invoice is far less likely to be held up by their accounts payable team.
