A purchase order (PO) is a document a buyer sends to a supplier to order goods or services. It confirms what you want to buy, how many, at what price, and when and where it should be delivered. Once the supplier accepts it, the PO acts as an agreement between both parties.
Purchase orders help you track spending, avoid misunderstandings about prices and quantities, and match supplier invoices against what you actually ordered.
What to include in a purchase order
- Your company name, logo and billing address
- The supplier's name and contact details
- A unique PO number and the order date
- Each item with description, quantity and unit price

Purchase order vs. invoice
The buyer creates a purchase order before the purchase to request goods. The seller creates an invoice after delivery to request payment. Suppliers usually put your PO number on their invoice so you can match the two quickly.
