What to include on a contractor invoice
- Your business name, logo, phone number and license number if your trade requires one
- The client's name and the job site address
- An invoice number, the invoice date and the due date
- A reference to the quote, contract or purchase order the work is based on
- Labor, listed by task or by hours, with the rate for each
- Materials and equipment, with quantities and unit prices
- Deposits or progress payments already received, and the balance due
- Payment terms and accepted payment methods
Billing labor and materials separately
Clients trust invoices they can check. List labor and materials on separate lines: for labor, use hours as the quantity and your hourly rate as the rate, or one line per fixed-price task. For materials, add one line per item or group, such as "Copper pipe, 15 mm" with the quantity and unit price.
If you charge a markup on materials, build it into the unit price. Use the shipping field for delivery or skip-hire charges, and the discount field for any agreed reduction.
Deposits, progress billing and retainage
Larger jobs are often paid in stages: a deposit before work starts, progress payments at milestones, and a final invoice on completion. Enter whatever the client has already paid in the "Amount paid" field and BillOak shows the remaining balance due automatically.
If your contract holds back a percentage until the job is signed off (retainage), note the amount and its release date in the terms so the final payment is not forgotten. Start from a quote with the same editor, and switch it to an invoice once the client accepts.

Yes. There is a PO number field, and you can mention the quote number in the notes. You can also create the quote itself with the quote generator.
