What a GST tax invoice must include
A registered supplier has to issue a tax invoice with the particulars listed in Rule 46 of the CGST Rules. The main ones are:
- Your name, address and GSTIN
- A consecutive invoice number of up to 16 characters, unique for the financial year, and the invoice date
- The recipient's name and address, and their GSTIN if they are registered
- The place of supply, with the name of the state, for inter-state supplies
- The HSN code for goods or the SAC code for services, a description, and the quantity and unit
- The taxable value after any discount, and the rate and amount of tax under each head: CGST and SGST/UTGST, or IGST
- Whether tax is payable on reverse charge, and your signature or digital signature
How to make a GST invoice in BillOak
Open the settings and type "Tax Invoice" in the Title field. Enter your business name and address with your GSTIN on its own line, then your customer's name, address and GSTIN. Give the invoice a number such as INV/2026-27/001 and a date, and choose INR as the currency.
Add each item with its HSN or SAC code in the description, for example "Graphic design services (SAC 9983)", then the quantity and rate. Write the place of supply and, if it applies, "Tax payable on reverse charge: No" in the Notes field.
BillOak has no signature field, so sign the printed invoice or add a digital signature to the PDF before you send it.
CGST + SGST or IGST
For a supply within your state you charge CGST and SGST (for example 9% + 9% on an 18% item). For a supply to another state you charge IGST (18%). For IGST, set the tax to 18% and click the "Tax" label to rename it "IGST"; the rate is added automatically.
For an intra-state invoice, set the tax to the combined rate (for example 18%) and switch on "Split into CGST + SGST" under the tax field; the switch appears when the currency is INR. The invoice and the PDF then show two rows, CGST 9% and SGST 9%, each with its own amount, rounded so they add up exactly to the total tax. BillOak applies one GST rate to the whole invoice, so if one invoice mixes items at different rates, use dedicated GST billing software.
E-invoicing (IRN) and when a PDF is enough
If your aggregate annual turnover is above ₹5 crore, your B2B invoices must be reported to the Invoice Registration Portal and carry an IRN and a signed QR code. BillOak does not connect to the portal, so it is not suitable for those e-invoices.
Below that threshold, a PDF tax invoice with the required details is a normal way to bill. The thresholds and HSN digit rules change from time to time, so confirm the current position with your CA or on the GST portal.
Bill of supply, quotes and other documents
If you are a composition taxpayer or supply only exempt goods or services, you issue a bill of supply instead of a tax invoice: type "Bill of Supply" in the Title field and leave the tax at 0. Composition taxpayers usually also need a short declaration on the bill, so check the wording with your CA.

Frequently asked questions
Is a GST invoice made with a free generator valid?
Yes, as long as it has the particulars required by Rule 46 and you are not required to issue e-invoices. Validity depends on the content, not the software.
How many HSN or SAC digits do I need?
It depends on your turnover and on whether the invoice is B2B or B2C. Smaller businesses generally need 4 digits on B2B invoices and larger ones 6. Check the current notification or ask your CA.
Can I issue a GST invoice if I am not registered?
No. Only registered persons can charge GST or issue a tax invoice. If you are not registered, send a normal invoice or bill without GST.
Do I have to show the invoice amount in words?
Rule 46 does not require it, but many businesses add it as good practice. You can write it in the Notes field.
