What to include on a photography invoice
- Your studio or business name, logo and contact details
- The client's name and contact details
- An invoice number, invoice date and due date
- The shoot date, location and type of session
- Session or day fees, editing and retouching, and any second shooter
- Prints, albums or other products, with quantities and prices
- Travel costs, the booking deposit already paid and the balance due
- Usage rights or licence terms for commercial work
Session fees, products and licensing
Split your invoice so the client understands what they are paying for. Put the session fee on one line, editing on another (for example, the number of retouched images as the quantity), and each print size or album as its own line.
For commercial clients, describe the licence in the notes or terms: where the images may be used, for how long and in which regions. A clear usage clause on the invoice avoids disputes later and makes it easy to charge for extended use.
Deposits and booking fees
Most photographers take a booking fee or retainer to hold the date. When you send the final invoice, enter that payment in the "Amount paid" field and BillOak shows the balance still due.
State your payment deadline clearly, for example "Balance due 14 days before the wedding" or "Due on delivery of the gallery", so there is no doubt about when you expect to be paid.
